Hotel Room Signs · Free planning resource
Hotel Sign Delivery Timeline Tool
This estimator counts business days back from the date your hotel signs must be on site, using the proof, production, transit and receiving allowances you enter. Guestroom Sign Co confirms production in the written quote, and the carrier service sets transit. The tool skips weekends but does not know holidays, customs delays or your installer's schedule.
Build your plan
Enter durations from a current written quote and carrier service. Weekends are skipped; holidays, customs delays and carrier cutoffs are not modeled. A zero allowance means you explicitly allow no time for that stage.
The decision behind a hotel room-sign schedule
Room count alone cannot describe a wayfinding order. Reconcile the door schedule with corridor directions, amenities and reception labels. The property team should supply the applicable design and accessibility requirements. Keep room identifiers as text so leading zeros survive the transfer into artwork.
Keep with your brief: Room schedule, directional destinations, mounting and applicable requirements.

Arrival − receiving allowance − transit − production − proof review, subtracting entered weekday counts
The dispatch date is an arithmetic checkpoint, not a booked collection. If the carrier, production team or receiving contact cannot support a stage, revise that allowance and calculate again. For an international order, agree who supplies import information and receives carrier questions before approving the dispatch plan.
How would a project manager time a reopening?
A project manager is reopening a hotel floor after a refit, and the installer is booked for a set date. She enters that date as the required arrival. For proofs, she enters the allowance her owner and brand reviewer agreed on. Production comes from the written quote for the Custom Door & Wayfinding Sign pieces, and transit from the shipping service the quote names. She adds a receiving allowance, because the loading dock is shared with contractors. The tool returns the latest day to place the order. She sends that date to Guestroom Sign Co with her quote request so the plan can be checked.
Check these details before using the result
- Using the opening date as arrival
- Enter the date signs must be on site for the installer, which comes before guests arrive. The opening date is too late.
- Entering transit from memory
- Use the transit stated for the service your quote names. A guess from a previous order to another address may not apply.
- Leaving receiving at zero
- A zero receiving allowance means the box is opened and checked the moment it arrives. On a busy site, allow for that step.

Hotel Room Number Signs
Build the set around the property's actual numbering schedule and mounting locations. If tactile, Braille or other regulated features are required, include those requirements explicitly; the design concept alone does not establish accessibility compliance.

Hotel Room Number Plaque
Check the number sequence against the property schedule before ordering. Describe lighting, wall color and placement, and specify any required tactile or accessibility features separately so they can be included in the proposed construction.

Custom Door & Wayfinding Sign
Prepare directions from the guest's actual approach to each sign. Verify arrows and room ranges on site, and avoid placing opposing directions under one arrow simply to make the layout look more symmetrical.

Amenity & Facility Sign
Separate the permanent facility name from operating hours and rules that may change. Supply approved wording for any required notices, and identify exposure to humidity, cleaning products or outdoor conditions before choosing materials.

Does the estimator include public holidays near our opening?
No. It skips weekends only. If a public holiday or a site closure falls in the plan, add that time to the receiving allowance yourself. For international orders, customs can also add time the tool does not model, so ask about it in your quote request.
Where do the production figures in the estimator come from?
From you. Enter the production duration stated in your written quote. Guestroom Sign Co's approved commitment is that production takes no more than 7 days, and shipping transit is additional. The quote gives the production start date, which is the most reliable anchor for the plan.

Use one location schedule per property, with exact room identifiers, sign functions and face directions. Keep permanent room plaques separate from directional and changeable information. A common visual identity does not mean every corridor or mounting surface needs the same sign.
